Personal Information Protection Policy

SkillUpJapan Corporation (hereinafter “SkillUpJapan”) provides and operates various solutions with a focus on digital contents management technologies.
In the context of these operations, SkillUpJapan takes great care in the handling of information that could identify individuals, such as the customer’s name, address, telephone number, or e-mail address (hereinafter collectively referred to as “Personal Information”), with a strong awareness of the importance of protecting this information. The company has stipulated the basic policies outlined below, and ensures that all employees, including management staff, clearly understand and strictly abide by these policies to enable the appropriate management of all Personal Information in the possession of the company, as well as all media containing Personal Information for which management has been subcontracted from third party companies (SkillUpJapan is indirectly entrusted with Personal Information when undertaking housing and hosting services on behalf of third party companies).

1. Conformance with laws and regulations
SkillUpJapan conforms strictly with all policies stipulated by the Government of Japan in the Personal Information Protection Law and other related laws and regulations.
2. Systems for the management of Personal Information
SkillUpJapan has appointed a manager in charge of Personal Information management and has established systems for the management of Personal Information. It makes efforts to ensure the safe and appropriate handling of Personal Information in accordance with in-house regulations. It has implemented appropriate preventative and corrective measures to avoid incidents or accidents involving Personal Information, including unauthorized access, as well as the loss, destruction, alteration, or leaking of such information.
3. Acquisition and use of Personal Information
When SkillUpJapan acquires Personal Information, it specifies the purpose of use to the greatest extent possible, and acquires only that information deemed necessary for the company’s operations, after notifying the individual in advance of that purpose, either by public or direct notification, and obtaining the individual’s consent. When using Personal Information, such use is limited to the scope that is deemed essential for achieving the specified purpose, and measures have been put in place to ensure that Personal Information is not used for any purposes other than those specified. For further details regarding specific purposes of use, please refer to “Handling of Personal Information” below.
4. Claims and consultations regarding Personal Information, and disclosure, amendment, and deletion of Personal Information
If SkillUpJapan receives a claim or consultation from a customer with regard to the handling of Personal Information, or if the customer makes a request for the Personal Information in question to be disclosed, modified, or deleted, then SkillUpJapan shall respond as quickly and efficiently as possible, within the necessary limits.
5. Continuous review and improvement
SkillUpJapan strives to constantly maintain and improve Personal Information management systems, responding to the establishment of or amendments to laws and regulations as well as to changes in the social environment, conducting regular reviews of Personal Information handling methods and protection systems, and making continuous improvements when deemed necessary.

*SkillUpJapan reserves the right to make changes to its Personal Information protection policies in keeping with the establishment of or changes to laws and regulations, and in order to further enhance the protection of customers’ Personal Information.
In the event that any such changes occur, a description of those changes shall be posted on this site, so that all interested parties can always be made aware of SkillUpJapan’s most recent Personal Information protection policies. If you have any concerns in this regard, please check this site regularly.

Personal Information Protection Policy

SkillUpJapan has announced the following items, based on the Law regarding the Protection of Personal Information (the Personal Information Protection Law; Article 18, Paragraph 1).

1. Person responsible for the management of Personal Information

2. Purpose of use of Personal Information
SkillUpJapan acquires Personal Information for the following purposes. With the exception of cases in which consent has been obtained from the customer in advance, or cases based on Japanese law, Personal Information shall not be used for purposes other than those outlined herein.
  • To provide SkillUpJapan’s services (operation of E-commerce sites and franchise sites, and other related business operations), contact customers, distribute e-mail magazines, provide and distribute information on products and services, conduct surveys, and execute confirmations for accounting audits
  • To respond to inquiries and requests, and to send requested materials, etc.
  • In the execution of contracts related to subcontracted operations including system development, operation, and maintenance (in this case, Personal Information shall be used only within the scope deemed necessary for the execution of such contracts)
  • For transaction screenings, placing and receiving orders, making payments on invoices, providing information on products and services, conducting surveys, and executing confirmations in accounting audits, and any other items required in the execution of contracts with customers.
  • To execute rights and obligations related to transactions with partner companies or companies that have outsourced operations to SkillUpJapan, and to gather information and contact relevant parties as deemed necessary in these operations.
  • To respond to inquiries and requests from stockholders and investors, to send requested materials, etc., and to execute management of stockholders and stocks based on various Japanese laws and regulations.
  • To undertake employee recruitment activities and the selection of new recruits, including those from staff placement and recruiting agencies and from partner companies, and to contact the individuals being recruited.
  • To confirm Personal Information in administrative operations related to employees (including directors, full-time employees, part-time employees, and partner staff), salary management, personnel and labor management, social insurance, and social welfare, as well as accounting and other general administrative tasks.
The individual in question shall be notified in advance of the purpose of use in the event of an interview or new employment, or when providing various products or services.
Customers make their own judgments with regard to whether or not to provide all or part of their Personal Information to SkillUpJapan, but please note that in the event such information is not provided, SkillUpJapan may be unable to provide certain services in keeping with the above purposes of use.
3. Provision of private information to third parties
SkillUpJapan shall not provide any Personal Information to a third party, with the exception of the cases outlined below.
  • When the individual’s consent has been obtained
  • In cases based on Japanese laws
  • In cases where such provision is required to protect a person’s life, health, or property, and when it is difficult to obtain the consent of the owner of that Personal Information in advance.
  • In cases where it is necessary to cooperate with a government agency or a local public body (or a party acting on behalf of such an agency or public body) in executing the operations prescribed by laws, and in which notifying the person of the purpose of use might impede the execution of the operations concerned.
4. Outsourcing of the handling of Personal Information
SkillUpJapan may outsource operations including the handling of Personal Information within the scope of the purposes of use outlined in Paragraph 3 to subcontractors that have completed confidentiality agreements with SkillUpJapan. Such subcontractors shall be selected from among companies that meet standards stipulated by SkillUpJapan with regard to Personal Information protection, and SkillUpJapan will undertake regular management and supervision, protecting that Personal Information in collaboration with all outside subcontractors.
5. Disclosure, amendment, and deletion of Personal Information
For details on requests for disclosure, amendment, and deletion of Personal Information, please refer to the section entitled “Requests for disclosure, etc.”
6. Use of Cookies
Some segments of this website use a technology referred to as “Cookies.”
“Cookie” refers to a mechanism in which specified information is stored in a communication device used by the customer in the form of temporary data, so that the customer can be identified based on that data each time the customer accesses the website. The purpose of the cookie is to provide better service by identifying the customer; it is not used to obtain information that could determine the identity of the user.
Customers may choose to disable the cookie function using browser settings, but please note that customers who disable cookies will be unable to access certain services on this website.

Requests for disclosure, etc.

SkillUpJapan responds appropriately to requests related to the disclosure, amendment, addition, deletion, use, and rights to denial of use and provision of Personal Information (hereinafter referred to as “Disclosure, etc.”), based on the Personal Information Protection Law and requests from the individual in question (or that individual’s representative), and in accordance with the following guidelines.
If a customer using SkillUpJapan’s products or services requests disclosure, etc., with regard to registered information, then we will respond to the greatest extent possible to each of the inquiry points for the various services, regardless of the procedures outlined below.

1. Personal Information subject to requests for disclosure, etc.
When requesting disclosure, etc., please specify the personal data that is subject to the request (e.g., name, address, telephone number, place of work (name of company, division, title), or e-mail address).
Personal Information cannot be disclosed in the following cases, but in such cases, the individual will be notified immediately to that effect.
  • When SkillUpJapan is only acting as the subcontractor, and does not have authority with regard to the information’s disclosure, etc.
  • When conformance with the request is likely to result in significant detrimental effects on the appropriate execution of SkillUpJapan’s operations
  • When conformance with the request is likely to result in damage to the life, health, assets, or other rights or benefits of the individual in question or a third party
  • When conformance with the request is in violation of laws or regulations
2. Contact point for receipt of requests for disclosure, etc.
When submitting a request for disclosure, etc., please enclose the specified request form, the necessary documentation, and a handling fee, and forward by registered mail to the address shown below. (Please note that requests for procedures not related to disclosure, etc., will not be accepted at this address). Please write on the envelope, in red: “Documents re: request for disclosure, etc.”

3. Documents (forms) to be submitted when making a request for disclosure, etc. (submitted by the individual in question)
When requesting disclosure, etc., with regard to your own Personal Information, please download the relevant request form, fill out all specified items, and enclose the following documents:
  • Request form for disclosure, etc.
  • Documents confirming the individual’s identity (copy of one of the following documents: Certification of items included in the Certificate of Residence (Juminhyo); Health Insurance Card; or Passport
4. Documents (forms) to be submitted when making a request for disclosure, etc. (submitted by a representative)
In the case of requests submitted by a representative, please download the relevant request form, fill out all specified items, and enclose the following documents:
  • Request form for disclosure, etc.
  • Documents confirming the individual’s identity (copy of one of the following documents: Certification of items included in the Certificate of Residence (Juminhyo); Health Insurance Card; or Passport
  • A letter of proxy regarding the disclosure, etc., of personal data for the individual in question, using the form specified by SkillUpJapan, and bearing an actual seal
  • A Certificate of Registration for the seal appearing on the letter of proxy (issued no more than three months before receipt of the letter)
5. Handling fees for requests for disclosure, etc., and payment method
For each request in relation to a given piece of personal data, please enclose postage stamps valued at 1,000 yen with the request documentation (this includes the cost of the registered mail for the reply from SkillUpJapan).
6. Method for replying to requests for disclosure, etc.
SkillUpJapan will reply in writing via simple registered mail to the address indicated in the request documents.
Please note that it generally takes at least two weeks to reply after the request has been received. In some cases, depending on conditions at SkillUpJapan, replies may take longer. We ask for your understanding in this regard.
7. Purpose of use for Personal Information obtained in relation to requests for disclosure, etc.
Personal Information obtained by SkillUpJapan through requests for disclosure, etc., will only be used to the extent necessary for responding to the request for disclosure, etc., including confirmation of the identity of the individual in question or that individual’s representative, and contacting the individual or representative. Documents submitted shall be stored for one year after completion of the response to the request for disclosure, etc., after which time the documents shall be destroyed using an appropriate method.
8. Non-disclosure of personal data
SkillUpJapan shall not disclose personal data in the cases stipulated below. In the event of a decision not to disclose data, the individual in question shall be notified immediately regarding the reason. Please note that even if the data is not disclosed, the specified handling fees will not be refunded.
  • When it is impossible to confirm that the request was received from the individual in question; for example, if there are inconsistencies in the address shown on the request form, the address shown on the documents for confirmation of the individual’s identity, and the address indicated in SkillUpJapan’s records
  • In the case of a request by a representative, when it is impossible to confirm that the representative has the right of proxy
  • When there are errors or omissions in the specified request documentation
  • When the handling fee is not enclosed with the request, or when the amount enclosed is insufficient
  • When the subject of the request for disclosure, etc., does not match the personal data held by SkillUpJapan
  • When conformance with the request is likely to result in damage to the life, health, assets, or other rights or benefits of the individual in question or a third party
  • When conformance with the request is likely to result in significant detrimental effects on the appropriate execution of SkillUpJapan’s operations
  • When conformance with the request is in violation of laws or regulations
